Automate item creation in your ERP

An AI agent spots new parts in your customer orders, reads the drawing and prepares the item.

The item is only created once an employee approves it.

New parts are created by hand, field by field

Two of the twelve parts in an order are not yet known to your ERP. For each one, your team prints out the drawing, copies a similar item and overwrites a dozen fields. Whether you call it item creation, part creation or master data entry: the process is almost the same everywhere.

What goes wrong is often noticed too late:

Prices carried over

A tier price from the template stays in and is confirmed to the customer.

Wrong template

The template has a different surface finish, so the routing and costing do not fit.

Changes missed

A new index goes unnoticed and the part is made to the old drawing.

How the AI agent creates a new part

The agent works by the rules your team applies for each customer.

What the agent doesWhat your team decides

  1. Check the order

The agent matches every line of the customer order against your item master and flags new parts and changed items.

  2. Read the drawing

It takes the number, index, date, title, surface finish and material from the PDF drawing.

  3. Find a template

It looks for an item of the same customer with the same surface finish, because the costing and routing depend on it.

  4. Prepare the item

It copies the template, overwrites the fields and sets all prices to zero.

  5. Approve and create

Your team sees the source of every field and approves. Only then does the agent create the item in the ERP.

Special cases in item creation

New or changed

Zero price, unknown number or new index: for each customer, the agent checks the signals your team uses today.

Drawing without an index

The agent enters the placeholder the way you keep it for this customer.

Missing or outdated drawing

The agent prepares the query to the customer. It is only sent once approved.

Changed drawing

The agent shows what has changed. Your team decides whether that is significant.

Raw material dimensions

Your production team settles the machining allowance. Until then the field stays open and the item can still be used.

Price based on effort

New parts stay at zero until they have been costed. The agent never takes prices from the template.

Parts from the legacy system

If a part has been made before, the agent reads the surface finish and dimensions from the legacy system, provided it can be connected.

This is how much working time your item creation takes today

Worked example

20 new parts a week at 15 minutes each add up to 5 hours of clerical work a week.

No item without approval

Without approval, the agent creates nothing and changes nothing. Queries to customers are also only sent after approval.

Processing takes place in data centres in the EU under the General Data Protection Regulation (GDPR), with a data processing agreement. The provider of the language model does not use your data for its own training.

Effort, costs and your ERP

We look over your team's shoulder on real orders, 2 to 3 working days in total.

Onboarding costs a small amount that we agree before the start. After that you pay a monthly fee that can be cancelled flexibly.

No new system

The agent uses the interface of your ERP system. You do not need your own developers.

Your item master as it is

No master data project beforehand: the agent works with your item master as it is.

Your rules for each customer

Index, template, fields that stay as they are: the rules for each customer are stored with the agent, not just in one person's head.

Frequently asked questions

Does this work with our ERP system?

The agent uses the interface of your ERP system. Before the start, we check whether it offers everything item creation needs, such as copying items, changing fields and linking drawings.

How does the agent recognise that a part is new?

By the same signals your team uses today: an unknown customer part number, a zero price in the order or a new drawing index. During onboarding, we record which signals apply to which customer.

What about dimensions that only production knows?

They stay with your production team. The item is created without these dimensions so that the order can go ahead, and your team adds them as soon as they are settled.

Does the agent replace our clerical staff?

No. It takes over the looking up, copying and typing. Dimensions, doubtful cases with the template and the assessment of changed drawings stay with your team, and an employee approves every new item.

Does our item master have to be cleaned up first?

No. The agent takes its cue from your existing items for the same customer. The more consistently they are maintained, the less often your team has to correct anything.

We call it the material master. Is that the same thing?

Yes. Whether item master, material master or parts master: what is meant is the master data your ERP needs for every part. And whether you call creating it item creation, material creation, part creation or master data entry: the agent prepares exactly this master data for every new part.
