Automate materials planning in your ERP

After every new order, an AI agent checks stock and the bill of materials down to the raw material and spots shortages before assembly comes to a halt.

Nothing is reserved, created or ordered until an employee approves.

Awaiting your approval

For every order with a shortfall, the bill of materials is checked by hand, part by part

Whether you call it materials planning, material scheduling or demand planning: for every part of the bill of materials, your team opens the stock movements and works through stock, receipts and issues, down to the raw material. With 50 components, that is 50 calculations per order.

The planning run in your ERP shows what is missing. Whether the stock will also last at every date and which quantity makes sense is often known only to one or two materials planners.

Stock at every date worked out by hand

What goes wrong only shows up in production:

Material that is already allocated

In total the stock is enough, but another order needs it earlier.

Quantities that do not fit

Exactly the shortfall is produced, and the machine is set up twice.

Follow-ups that fall through

The request to the supplier goes unanswered and nobody notices.

How the AI agent plans materials for an order

The agent checks and prepares, following the rules of your materials planning.

Done by the agentDecided by your team

  1. Pick up the order

It picks up every new order from the ERP, including those from order entry.

  2. Reserve finished goods

It reserves what is freely available in stock. Only the shortfall goes to production.

  3. Prepare production order

It rounds up to your lot size and sets the completion date with a buffer.

  4. Explode the bill of materials across all levels

It checks every part down to the raw material over time, not only in total.

  5. Prepare procurement

For each part it chooses a call-off, a purchase order or a request to expedite, according to your rules.

  6. Approve, create, order

Your team checks and approves. Only then does the agent reserve, create and order in the ERP.

  7. Follow up

It follows up with the supplier and gives the earliest date the material allows.

Special cases in materials planning

Minimum order quantities, lot sizes and full pallets

The agent rounds up to the minimum order quantity, minimum call-off, lot size or full pallets. If the value is missing, it asks.

Stock is enough only in total

If a part goes negative in between, the agent shows from when and for which order.

Apparent shortfalls

If production in progress has not been posted yet, the agent does not report a false shortage.

Unconfirmed receipts

The agent marks unconfirmed receipts as uncertain and follows up with the supplier.

Open purchase order arrives too late

The agent asks for the delivery to be brought forward. If a part comes by sea freight, it shows the earliest date instead.

Special materials and new prices

If a price is missing or the supplier is new, the purchase order goes to your purchasing team.

Parts the customer supplies

The agent does not order customer-supplied parts. If they are missing, it prepares a reminder to the customer.

Several orders, one item

The agent combines the demand in one production order. The machine is set up once instead of several times.

Orders placed far in advance

At first the agent plans only the next few weeks. Expensive bought-in parts do not sit in stock for months.

Earlier requested date

If the material is ready, the agent asks production planning for an earlier date. Otherwise the agreed lead time stands.

The customer's credit limit

If the insured credit limit would be exceeded, the agent places nothing and refers the case to accounting or management.

How much time your materials planning takes

Worked example

8 orders a day at 30 minutes each are 4 hours of clerical work, or half a full-time position.

No reservation, no production order and no purchase order without approval

Without approval, the agent reserves, creates and orders nothing. Emails to suppliers and customers also go out only after approval.

Processing takes place in data centres in the European Union under the General Data Protection Regulation (GDPR), with a data processing agreement. The provider of the language model does not use your data for its own training.

Proposal created with its reasoning

Your team

Approve

Reserved, created and ordered via your ERP

  • The reasoning for every proposal, for example Stock 180, issue of 150 on 20 Nov, demand of 300 on 30 Nov
  • Orders are placed only on the terms in your ERP
  • The agent only proposes delivery dates, which are promised after your approval
  • Every action and every approval is logged

Effort, costs and your ERP

We record your materials planning on screen, using real orders with shortfalls. Expect 2 to 3 working days from your team.

Onboarding costs a small amount that we agree before the start. After that you pay a monthly fee that can be cancelled flexibly.

Start step by step

You take the next step once the previous one is running.

  1. Stage 1

    Check and report

    It reports shortfalls and shortages.

  2. Stage 2

    Prepare for approval

    It prepares everything for approval.

  3. Stage 3

    Propose the delivery date

    It proposes the delivery date.

No new system

The agent works through the interface of your ERP system. Your suppliers receive purchase orders and call-offs as before.

Less dependence on individuals

The rules live with the agent, not only in the heads of individual materials planners. A stand-in can approve too.

Better master data along the way

If lot sizes or lead times are missing, the agent asks. That shows you which data is worth adding.

Frequently asked questions

Doesn't the planning run in our ERP already do this?

Partly. The planning run, also called the MRP run (Material Requirements Planning), calculates what is missing. The agent checks whether a proposal fits your rules, whether a part runs short in between and whether a supplier can deliver earlier.

Does this work with our ERP system?

The agent uses the interface of your ERP system. We check before the start whether it offers everything materials planning needs.

Does our master data have to be complete beforehand?

No. If a lot size or lead time is missing, the agent asks and remembers the answer.

Does the agent order from our suppliers on its own?

No. Call-offs, purchase orders and requests go out only once your team approves.

What is the difference between materials planning and material requirements planning?

Often they are the same. Where the two are separated, material requirements planning determines the demand and materials planning decides how it is met: from stock, from your own production or by purchase order. In everyday use both are also called material planning or demand planning, and the umbrella term is materials management.

Which parts is the agent meant for?

For parts whose demand comes from customer orders and bills of materials. Standard parts with a reorder point, such as screws, it only checks for coverage.

What happens if the stock levels in the ERP are wrong?

Then the proposal is wrong too, just as it is for your team today. The agent calculates with the stock levels from your ERP.
