Material purchasing in construction: bid comparisons, created automatically

An AI agent reads your suppliers' quotes, whether PDF or Excel, matches every line item on your material list and creates the bid comparison.

Nothing is awarded or ordered until an employee approves it.

Supplier quotes arrive in every format and the bid comparison is built by hand

Every supplier replies in its own format, with its own item numbers, its own units and freight tucked into the delivery terms. Your team matches every line item by hand and converts it to the landed cost delivered to site, because only that figure can be compared.

When day-to-day business leaves no time for this, quotes are compared less thoroughly and orders cost more than they need to.

This is one line item. With 80 line items and three quotes, it is 240 times.

What goes wrong along the way costs money later:

Forgotten line items

No quote came in for one line item and nobody noticed.

Cheap only at first glance

The cheapest quote contained a different product or left out the freight.

Ordered from the regular supplier

With no time to compare, the order goes to the familiar supplier instead of the cheapest one.

Expired prices

The prices expire before a decision is made.

How the AI agent creates the bid comparison

The agent takes over the typing, matching and checking, following the rules of your purchasing department.

What the agent doesWhat your team decides

  1. Import the material list

It reads the material list from your estimate, as Excel or PDF.

  2. Prepare requests for quotation

It puts the request together for each supplier. It is only sent once you approve it.

  3. Read in the quotes

It reads the quotes from your mailbox and takes quantity, unit, price, surcharges and price validity for each line item.

  4. Match line items

It matches every quote line by its specification, converts units and flags deviations.

  5. Create the bid comparison and show gaps

It compares the landed cost delivered to site, shows missing quotes and proposes who supplies what.

  6. Approve and order

Your team checks, negotiates if needed and approves. Only then does the agent prepare the purchase orders.

Special cases when comparing quotes

Same goods, different name

The agent recognises the same goods even under a different name or a different standard.

Different units and pack sizes

The agent converts packs, bars and mats into your unit, rounded up to full packs.

Different specification or make

The agent flags other classes or makes. Your team decides whether they are equivalent.

Partial quotes and missing line items

If a line item has no quote, it goes to the top of the list and the follow-up request is ready.

Extra line items in the quote

The agent lists accessories you did not request separately, outside the comparison.

Extra costs and payment terms

Freight, crane unloading, surcharges and cash discounts go into the landed cost, even when they are scattered across the quote.

Price validity and daily prices

The agent shows how long every price is valid and reminds you in good time before it expires.

Revised quotes

A new quote replaces the old one, the changes are flagged and the old version stays on file.

Awarding to several suppliers

The agent factors in the additional deliveries. That way you see whether splitting the order pays off.

Time and money in material purchasing

Worked example: time

80 line items and three quotes make 240 quote lines. At one minute per line, one bid comparison takes half a working day.

Worked example: purchasing

With 3 million euros of material purchasing a year, every per cent of better purchase prices is worth €30,000.

No request, no award and no purchase order without approval

Without approval the agent sends nothing: no request, no follow-up, no purchase order. It flags deviations, and your team makes the decision.

Processing runs in data centres in the EU under the General Data Protection Regulation (GDPR), with a data processing agreement. The provider of the language model does not use your data for its own training.

Start step by step

You start with one material group or one project and add more later.

More comparison without more staff

Without the manual work, a third or fourth quote pays off even for small orders.

No new system and no change for your suppliers

The agent reads Excel and PDF from your estimate and hands over as Excel or to your ERP system. Your suppliers keep sending quotes by email as before.

Purchasing know-how stays in the company

Which suppliers you ask, which alternatives are acceptable and who approves above which amount is stored with the agent.

Frequently asked questions

Does this work with our estimating software?

The agent reads the material list in the form your software exports it, for example as Excel or PDF. We clarify which exports and interfaces your software offers before the start.

Do our suppliers have to change anything?

No. They keep sending quotes as before. The agent copes with different formats, item numbers and units.

What happens if a supplier offers a different product?

The agent flags the deviation and shows it next to the requested specification. Your team decides whether the product is equivalent.

Does the agent replace our buyer?

No. It takes the copying, converting and matching off your team's hands. Negotiating, deciding and the relationship with your suppliers stay with you.

We call this a quote comparison. Is it the same thing?

Yes. Bid comparison, quote comparison or price comparison: each means the step from the supplier quotes to the decision on who supplies what.
